Hunton Trane, a division of the Hunton Group ( www.huntongroup.com ), is seeking to hire a detail-oriented Warranty and Concession Coordinator to oversee the handling of all warranty and intercompany service calls by creating a clear scope of service to be performed by our HVAC Technicians. The ideal candidate would be familiar with HVAC Components and have excellent communication, customer service and computer skills. Proficiency in the use of our automated Service System, Wennsoft, is a critical tool the Warranty and Concession Coordinator must master. This position will report directly to the Inside Sales Team Leader and is located in zip code: 77042. Responsibilities: Receive calls from customers and create warranty, start-up, and intercompany service calls in system with clear scopes of service to be performed and/or details of the problems. Verifies essential information, including but not limited to customer name, address, billing information, contact name, contact number, contact email, purchase order number, verify equipment warranty status, at the time that a service request is received. Work closely with the inside sales team to triage calls, and determine which technician or department is best suitable for the repair. Maintain a positive attitude and communicate professionally to all customers inquiries including but not limited to customer complaints. Develops, maintains and cultivates new customer relationships. Submit warranty claims within Trane's submission timing policy. Proficiently utilizes the Trane Citrix Workspace, Falcon and WMS programs. Track warranty claim status, respond to external replies, and process warranty calls in WennSoft. Owns financial processes for service calls, including: issuing purchase orders, processing invoices in WennSoft, filing concession paperwork with Trane, and submitting billing requests to the Finance Manager. After call completion, provides or obtains copies of Call Summary Report and invoice, as well as other documentation, including equipment logs, quotes for repair, etc., as required. Communicate and follow up with customers, both external and internal, to ensure outstanding issues are resolved and all commitments and expectations are met. Prioritizes workload and requests to ensure customer and employee satisfaction are delivered. Perform other tasks as assigned. Qualifications : Excellent organizational, communication, customer service & people skills required. Computer skills required include computer-aided dispatch, scanner, e-mail, and Microsoft products.
