JOB SUMMARY Records Clerks shall be responsible for clerical functions of a specialized nature in order to maintain the official departmental records of the police department. Duties follow well-established guidelines, methods, and procedures. ESSENTIAL JOB FUNCTIONS Answers telephone calls and receives visitors. Routes, responds, or receives information as needed and provides information/copies of documentation according to established procedures and guidelines. Retrieves hard copy and electronic reports from police computers, reviews documentation to ensure accuracy and completeness, downloads or enters reports into specialized law enforcement software. Routes reports to other law enforcement agencies and open records requests according to established procedures and guidelines. Files paperwork from various areas within the department according to established procedures and guidelines. Processes subpoenas, 911 tape requests, and background checks for other agencies. Emails District Attorney's Office with case numbers of misdemeanor arrests entered. Sends and receives fax documents. Relieves switchboard operator when needed. Sends paperwork pertaining to received open records requests to Assistant City Attorney. Takes ID photos for all city employees. Operates and maintains various types of office equipment. Maintains cash funds, produces accurate daily cash flow report and forwards to City Finance Department according to established procedures and guidelines. Engages, assists, and directs other agencies at the window with accident, offense and arrest reports with explanation of reports, providing copies of documents. Assists the City with all reports for the City of Conroe that require a police report. Performs other related job duties as assigned. QUALIFICATIONS Education and Experience: Possession of a high school diploma or equivalent required. Special Requirements: Must type 40 wpm with 90% accuracy. Must pass written general knowledge and spelling exam. Possession of a valid class "C" Texas driver's license required. Knowledge, Skills and Abilities: Knowledge of basic computer skills. Skill in customer service. Ability to listen, comprehend and apply information received. Ability to understand rules and confidentiality. Ability to communicate verbally and in writing using the English language. Ability to work several consecutive hours in an office environment without the use of tobacco products. Ability to climb stairs while carrying file box. PHYSICAL DEMANDS The work is sedentary and requires the ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Additionally, the following physical abilities are required: climbing, crouching, feeling, fingering, grasping, handling, hearing, kneeling, lifting, mental acuity, pulling, reaching, repetitive motions, speaking, standing, stooping, talking, visual acuity, and walking.
